Job Overview:
We’re looking for a highly organised and proactive individual with a passion for operations, logistics, and customer service to support our growing Operations Team. As an essential part of our fast-paced startup, you’ll help ensure smooth order processing, efficient stock management, and outstanding customer service for our B2B partners. This entry-level role offers hands-on experience, autonomy, and the opportunity to develop valuable skills in a dynamic, mission-driven environment.
You'll be working under the Supply Chain & Operations Manager, alongside the Operations Executive and the Inventory & Demand Planner, collaborating closely to ensure smooth and efficient operational processes.

Key Responsibilities:
-
● Process B2B orders across various WMS platforms, ensuring timely dispatch and adherence to packing requirements.

● Act as the primary point of contact for wholesale customer service, resolving post-shipment issues such as damages, tracking, and shortages promptly.

● Provide administrative support to the Operations and Sales team, actively managing fulfilment claims and service-level agreements (SLAs).

● Provide holiday cover for other members of the operations team.
Detailed Responsibilities:

● Processing B2B orders and coordinating with internal and 3PL warehouses for accurate and timely delivery.

● Sending necessary paperwork and information to the Finance team for invoicing purposes.

● Communicating with B2B customers, providing tracking information, and ensuring all outstanding orders are dispatched within 24-48 hours.

● Resolving B2B customer service issues and documenting them accurately.

● Raising claims with carriers and ensuring credits are issued to UpCircle as required.

● Managing communication with 3PLs, resolving queries related to B2C orders (e.g., missing addresses, courier selection).

● Documenting manufacturing issues reported by customers to assist the Supply Chain Manager with supplier communication.

● Booking Goods In with warehouses when needed.
Requirements:

● Excellent organisational skills and meticulous attention to detail.

● Strong communication and customer service skills.

● Ability to work independently and as part of a team in a fast-paced environment.

● Experience in logistics, operations or customer service is a plus but not essential.

● Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with WMS systems.
